Step-by-Step Guide

Set up a college-only email address

Before you create your first application account, make one email address that exists only for college. Fifteen minutes now prevents the two classic senior-year disasters: a decision buried in a personal inbox, and an application filed under an address a reader might raise an eyebrow at.

Why a separate address

  • Nothing gets lost. Portal invitations, interview requests, missing-document notices and decisions all land in one place with no newsletter noise around them.
  • Every account matches. Common App, UC, CSU, FAFSA, College Board, testing agencies and every school portal use the same login email. Mismatched addresses are the top cause of "we have no record of your scores."
  • A parent can help without reading your life. Share access to this one inbox and deadlines get a second set of eyes with no privacy cost.

How to set it up

  1. Pick a plain, professional address. Firstname.lastname@gmail.com, or with a middle initial or graduation year if taken. No nicknames, no jokes: this address appears on every document an admissions office sees.
  2. Turn on real security. A password you use nowhere else, plus two-factor with a phone number that will not change this year. Losing this account in March means losing decision letters.
  3. Check it on a schedule. Daily from October through April, a few times a week otherwise. Turn on the mobile notification.
  4. First message: email yourself the master list. Every college account you create from now on goes into one note: site, username, and which email it uses. Future you, resetting a password at 11:57pm on deadline night, says thank you.

One rule going forward

Every college-related signup uses this address. The first time you are tempted to use your school address instead, remember that school accounts are often deleted the summer after graduation, right when waitlist and housing mail arrives.
