Step-by-Step Guide

Overview

In the days after RD submission, verify every application was received and every required component landed. Portals lag by 3-10 days; don't panic early, but check systematically after one week.

The Verification Process

For each school you applied to:

  1. Log in to the school's applicant portal (the link arrives in a confirmation email 1-5 days after submission)
  2. Check the application checklist. Most schools show: Application submitted ✓, School report, Counselor rec, Teacher rec 1, Teacher rec 2, Transcript, Test scores (if submitted), CSS Profile, FAFSA
  3. Confirm each item is received or marked "on file"

Timing

  • Common App transmits within hours
  • Transcripts arrive 3-5 business days (longer if school is on break)
  • Teacher recommendations: usually within a week
  • Test scores: 2-4 business days from College Board / ACT
  • FAFSA/CSS Profile: 3-5 business days to link to the school

What to Do If Something Is Missing After 10 Days

  1. Double-check you requested it correctly (name match? fee paid?)
  2. Send a polite email to the admissions office with your application ID
  3. Follow up with the source (teacher, counselor, test company)
  4. Escalate only after two unanswered attempts - admissions officers are slammed in January

Email Template for Missing Materials

Dear Admissions Office,

I am writing to follow up on my application (ID: [number], submitted [date]). I noticed in the applicant portal that [specific item] is still marked as missing.

I requested this on [date] via [method]. Is there any additional action I need to take to resolve this?

Thank you for your time.

Sincerely, [Your name]

Keep a Tracker

Create a spreadsheet: | School | App submitted | Transcript | Rec 1 | Rec 2 | Counselor | Tests | CSS | Portal login | |---|---|---|---|---|---|---|---|---|

Updated weekly through February.

Do Not Panic About Common Glitches

  • "Application Received" but not "Application Complete" - this is normal; completeness is flagged after human review
  • Test scores submitted but not yet appearing - 5-7 business days is typical
  • Fee waiver "pending" - normal if processed by counselor

When to Actually Worry

  • 3+ weeks after submission and transcript still missing
  • Teacher has not submitted 2+ weeks after deadline
  • Counselor letter missing on a school that requires it

In those cases, contact admissions directly. Schools won't deny a student over a missing document they weren't notified about, but they also won't finish reviewing without it.
